Reporting to: National Sales Manager and Export Manager
Location: Montague Gardens, Cape Town
Purpose of the role:
The Sales Operations Coordinator will play a pivotal role supporting the National Sales Manager and Export Manager in managing both local and international customer accounts. This position ensures seamless communication, accurate documentation, and efficient coordination between sales, production, and logistics teams. The role requires strong organizational skills, attention to detail, and the ability to manage complex compliance requirements across diverse markets.
Key performance areas include (but are not limited to):
- Receive, review and process customer purchase orders (local and export).
- Prepare reports and presentations for customer meetings.
- Maintain and file customer documentation, contracts, and records.
- Liaise with sales agents, providing weekly stock reports, promo grids, and communicate gap reports – using B2B and Izon systems.
- Prepare category reviews using Data Orbis for internal and external presentations.
- Manage shipping agents and shipping lines for booking arrangements and freight coordination.
- Ensure compliance with customer-specific labelling, regulatory requirements and product specifications.
- Organise product samples for new and updated products.
- Review and approve artwork proofs for label amendments.
- Manage all customer shipping documentation, including country-specific customs requirements. E.g. invoices, packing lists, Certificates of Origin, Phytosanitary Certificates, etc.
- Review job cards for new products to ensure all information provided to the production team is accurate.
- Organize international trade show participation, including logistics and product sample preparation.
- Travel arrangements for customer meetings and trade shows, local and international. Including product samples.
- General and other duties may be assigned by senior management.
Required Qualifications and Experience:
- Matric
- 3+ years’ experience in sales administration and/or export operations, preferably in food production.
- Familiarity with international shipping, trade compliance, and customer service.
- Excellent communication skills, both written and verbal.

- Strong organizational and multitasking abilities.
- Ability to prioritize under pressure and make real-time decisions.
- Proficiency in data analysis tools (e.g. Izon) and B2B systems.
- Attention to detail in reviewing artwork, specifications, and documentation.
- Analytical and problem-solving ability.
- Computer skills (Excel, ERP systems, MS Office).
- Integrity, reliability, and accountability.
- Valid driver’s license and reliable transport.
This role is critical in ensuring smooth operations across both local and export markets, balancing customer satisfaction with regulatory compliance and operational efficiency.
