Procurement Assistant – Cape Foods / Cape Town

Reporting to: Procurement Officer

Location: Montague Gardens, Cape Town

Purpose of the role:

The Procurement Assistant will support the procurement team in sourcing, purchasing, and managing raw materials and packaging for Cape Foods. This role will focus on day-to-day purchasing activities, supplier coordination, and administrative support to ensure timely, quality and cost-effective procurement. The role ensures compliance with procurement policies, procedures, and ethical standards while supporting operational efficiency, value for money, and sustainable supplier relationships. The Procurement Assistant will play a key role in maintaining smooth operations and supporting the strategic procurement function.

Key performance areas include (including but not limited to):

Administrative Support

  • Maintain updated supplier and procurement records.
  • Organize and file contracts, purchase orders, and correspondence.
  • Track deadlines for procurement-related tasks and escalate delays.

Supplier Coordination

  • Request and collect quotations from approved suppliers.
  • Confirm purchase orders and delivery schedules.
  • Follow up on late deliveries or incomplete shipments.
  • Record supplier performance issues and report to the Procurement Officer.
  • Request B-BBEE certificates of new suppliers and keep record of it.

Procurement Operations

  • Draft and process purchase requisitions and orders.
  • Verify product specifications against purchase requests.
  • Monitor inventory levels and flag low-stock items while avoiding overstocking.
  • Coordinate with warehouse/logistics teams for incoming goods.

Reporting & Analysis

  • Compile weekly procurement activity reports.
  • Track spend against budget and highlight variances.
  • Prepare supplier performance summaries.

Compliance & Quality

  • Ensure all purchases comply with company policies.
  • Verify goods meet required specifications and quality standards.
  • Maintain audit-ready documentation.
  • Support internal/external audits when required.

Process Improvement

  • Identify recurring supplier or process issues.
  • Suggest workflow improvements to reduce delays.
  • Share feedback from suppliers and internal teams.
  • Assist in implementing new procurement tools or systems.

Other duties

  • Assist with stock take processes as operationally required.
  • Stand-in at reception when needed.
  • General and other duties may be assigned by senior management.

Required Qualifications and Experience:

  • A relevant Tertiary qualification in Purchasing / Supply Chain Management / Logistics / Business Management, or related field (preferred but not essential).
  • 1-3 years’ experience in procurement, buying, or supply chain support.
  • Exposure to FMCG, food manufacturing, or packaging procurement will be an advantage.
  • Proficiency in Microsoft Excel, competent in MRP system and SYSPRO beneficial.

The successful candidate will play a key role in ensuring the efficient planning and purchasing of raw materials and packaging, maintaining optimal stock levels, and supporting smooth supply chain operations.
This role is ideal for someone with strong analytical skills, excellent organisational ability, and a keen interest in supply chain and procurement processes.
