Purpose of the Role
The Head of Creditors will lead the accounts payable function by ensuring supplier invoices, credit notes, reconciliations, and payments are processed accurately, timeously, and in line with company policies and internal controls. The role contributes to effective working capital management through disciplined administration, accurate record-keeping, strong supplier relationship management, and support to month-end close activities.
Key Responsibilities
Accounts Payable / Creditors
- Oversee the supplier invoice and credit note process to ensure documents are captured accurately, timeously, and in line with approved purchase orders, pricing, supporting documentation, and internal controls.
- Manage payment allocation and supplier reconciliation processes, ensuring timely resolution of reconciling items and recurring exceptions through root-cause analysis and corrective actions.
- Ensure supplier statements are obtained, reviewed, and reconciled monthly, with follow-up on outstanding invoices, credit notes, proof of delivery, and remittance information.
- Own and review creditors reconciliations and month-end accounts payable close activities, ensuring accurate reporting, compliance, and timely resolution of reconciling items.
- Log, track, and resolve supplier account queries, including pricing differences, missing documentation, short payments, and payment allocation queries with internal teams.
- Coordinate payment runs by monitoring due dates, supplier terms, cash-flow requirements, and approval controls, escalating risks to the Financial Manager where required.
- Maintain accurate filing and supplier master data; ensure documents are complete for audit and internal controls.
- Create and maintain supplier accounts in line with company policies.
- Drive monthly creditors ageing meetings, provide feedback, and implement proactive actions to resolve issues.
- Full cashbook & bank management.
Skills & Competencies
- Strong attention to detail with high level of accuracy and good numerical skills.
- Good communication skills (written and verbal) and a professional supplier-service approach.
- Able to plan and prioritize tasks to meet deadlines in a fast-paced environment.
- Problem-solving mindset with ability to follow up and resolve queries.
- Competent in Excel and comfortable working on Syspro.
Qualifications & Experience
- Certificate/Diploma in Accounting, Finance, or a related field (advantageous).
- 3–5 years’ experience in a accounts payable/creditors or similar finance role.
- Experience in an FMCG/manufacturing environment advantageous.
- Proficiency in Microsoft Excel and accounting/ERP systems (SYSPRO advantageous).
- Strong knowledge of BI reporting tools.
- Basic understanding of VAT, supplier reconciliations, and payment controls.
