Reporting to: HR Officer
Location: Killarney Gardens, Cape Town
Purpose of the role:
The purpose of the role is to be responsible for the efficient administration of the Human Resources Department. This
role will ensure that all HR related documentation is easily retrievable and that a good administration system is always
maintained. The role will assist the HR Department and the business in providing effective Human Resources
operations to the company and its employees.
Key Job Roles and Responsibilities (including but not limited to):
Recruitment duties
- Assist with the end-to-end recruitment process.
- Post job advertisements and organise job applications including pre-interview and screening, to compile a
- shortlist of suitable candidates.
- Schedule job interviews and assist with the interview process.
- Collect employee information.
- Ensure background, reference and other required checks are completed.
- Prepare new employee files.
- Oversee the completion of new employee appointment documentation according to checklist.
- On-board new employees (registration on time-keeping system, issue locker facilities, induction, etc.).
HR Administration and Maintenance
- Maintain current HR files and databases, ensuring confidentiality of all information.
- Update and maintain employee benefits, employment status, and similar records.
- Maintain records related to grievances, performance reviews, and disciplinary actions.
- Performing file audits to ensure that all required employee documentation is collected and maintained.
- Maintain organised and up-to-date HR files.
- Provide clerical support duties to the HR department and other departments where required. Attend to any time-keeping system issues.
- Compile and maintain time keeping log for payroll specifically for recording overtime hours and absenteeism.
- Assist with Disciplinary, Grievance and other HR processes as required.
- Complete medical check forms for new employees, staff members returning from leave, and where required,
- to ensure employees are fit for duty.
General and Ad-Hoc duties
- Report on progress of on-job-training interventions.
- Support Quality Control Manager and HR team with maintenance list of internal training interventions and other
- general administrative tasks.
- Assist with employee relations issues as and when they arise.
- Respond to ad hoc HR queries on a day-to-day basis.
- Ensure knowledge and understanding of all the company’s policies and their practical application to provide
- advice and support to all staff.
- Regular inspection on the condition of staff locker room facilities and ensure these are kept neat and tidy.
- Liaise together with the HR Officer and Receptionist on the weekly visit schedule for the on-site nurse.
- Ensure company adherence to HR policies and processes
- Ensuring compliance with applicable legislation
- Ensure that the payroll department is provided with necessary employee information where required.
- Assist with pay queries where required.
- Build and maintain strong working relationships with the workplace committee and/or union.
- Drive and assist with initiatives to promote a healthy company culture supportive of business values.
Required Qualifications and Experience:
- National certificate
- Diploma or Degree in HR or related field.
- Minimum of 2 years’ experience in similar position in manufacturing industry.
- Proven history of executing HR-related tasks.
- Knowledge of labour legislation, particularly the BCEA, LRA and SDA.
- Ensure familiarity with and adherence to company policies and procedures.
- Ensure adherence to Occupational Health & Safety (OHS) regulations.
- Ensure compliance with all food safety, hygiene, and quality requirements.
