Purpose of the Role
An exciting opportunity has become available for a Procurement & Buying Officer to join our dynamic team in a fast-paced FMCG environment. The purpose of the role is to ensure the procurement of raw and packaging materials for production that meets the company’s quality, cost and delivery requirements. The role is to support operations by ensuring timely procurement of materials while maintaining compliance with procurement policies, governance standards and ethical business practices. The incumbent will build and maintain strong supplier relationships and contribute to cost-saving and continuous improvement initiatives.
Key Responsibilities:
- Execute end-to-end procurement activities, including sourcing, obtaining quotations, purchase order creation and supplier follow-up.
- Ensure the timely procurement of raw and packaging materials according to the MRP and lead-times.
- Work closely with Production, Planning, Quality, Finance, NPD and Warehouse teams to meet operational requirements.
- Ensure compliance with procurement policies, delegated authority and governance requirements.
- Support supplier onboarding and due diligence processes.
- Update the supplier database and ensure materials are purchased as per approved vendors.
- Continuously monitor inventory levels to ensure stock availability and manage working capital.
- Daily interaction with the warehouse to ensure the smooth operation of receiving materials and manage the influx of excess stock.
- Communicate updated forecasts to all the suppliers timeously.
- Hold regular meetings with suppliers to discuss material supply, pricing, forecasts and supply risk mitigation.
- Identify opportunities for cost reduction and process improvement.
- Prepare procurement reports and analyse purchasing trends and spend.
- Evaluate suppliers service levels based on stock availability as per the lead-time, quality of the product delivered, deliveries arriving as per schedule and with appropriate documentation.
- Monitor non-conformance reports sent to suppliers and their feedback to ensure corrective action.
- Liaise with suppliers to ensure all material prices are submitted as per the costing cycle deadline.
- Regular reconciliation of materials when required.
- Monitor the stock age report to ensure materials are utilised before the expiry date.
- Request shelf-life extensions from suppliers if required.
- Involvement in NDP projects.
- Participate in monthly stock-take when required.
- Ensure supplier BBBEE certificates are requested and regularly updated.
- Ensure Purchase Price Variance on invoices are explained and signed by management.

Qualifications, Skills & Experience
- Diploma or Bachelor’s degree in Procurement, Supply Chain Management or related field
- Professional procurement qualification (e.g. CIPS) will be advantageous
- Minimum 5-8 years procurement experience, preferably within an FMCG or manufacturing environment.
- Computer skills (Microsoft Outlook/Excel/ERP system (preferably Syspro).
