Purpose of the Role

The purpose of this role is to provide accurate, timely and detail-focused administrative support to the production, planning, buying and procurement functions at WCC Side Road in Johannesburg. The Production Clerk will be responsible for maintaining reliable production records, processing job issues and receipts, tracking variances, OEE, downtime, mass balances and production volumes, and supporting production plan control. The role also ensures effective coordination of consumables, purchase orders, supplier documentation, price variance follow-ups, credit requests, collections and deliveries, thereby contributing to efficient FMCG manufacturing operations, cost control, service delivery and compliance with internal processes.

Key Responsibilities

  • Open production jobs on SYSPRO accurately and timeously in line with the production plan and operational requirements.
  • Capture final products on SYSPRO, ensuring all quantities, product codes, batches and related production information are correct before posting.
  • Process and maintain accurate production job issues, receipts, allocations and related production transactions on the relevant system.
  • Compile, review and follow up on job variance reports, ensuring variances are investigated, explained and escalated where required.
  • Capture, monitor and report on production performance measures, including OEE, actual productive time, downtime, line efficiencies and output trends.
  • Perform mass balancing across all production lines and ensure production data is accurate, complete and aligned to internal reporting requirements.
  • Track volumes produced on a daily, monthly and year-on-year basis, identifying trends, gaps and areas requiring follow-up.
  • Support production plan control by monitoring production schedules, updating records and communicating changes or concerns to the Planner and production team.
  • Monitor that correct raw material, packaging and consumable allocations pull through to production jobs and follow up on discrepancies.
  • Assist with stock control administration, including production-related stock movements, usage records, cycle count support and stock take preparation where required.
  • Ensure effective communication with warehouse teams regarding expected incoming materials, material availability, production requirements and urgent operational needs.
  • Create, process and follow up on purchase orders, supplier documentation, invoices, delivery notes and supporting production or procurement administration as required.
  • Ensure that price variances, supplier rejections, shortages, damages and credit requests are recorded, communicated and followed up with suppliers timeously.
  • Maintain accurate production, procurement and supplier records, ensuring documentation is filed, traceable and available for audit, stock reconciliation and reporting purposes.
  • Prepare regular production administration reports and provide accurate data to support planning, purchasing, cost control and operational decision-making.
  • Work closely with production, planning, procurement, warehouse, quality and finance teams to resolve administrative queries and support smooth daily operations.
  • Identify recurring administrative, production or supplier-related issues and recommend practical improvements to reduce errors, delays and waste.
  • Ensure all work is completed in line with company policies, internal controls, food safety, quality, health and safety, and FMCG manufacturing requirements.
  • Perform any other relevant tasks as required by the production, planning, buying and procurement teams.

Skills & Competencies

  • High level of accuracy and attention to detail, especially when capturing production jobs, final products, quantities, product codes and batches on SYSPRO.
  • Strong administrative and organisational skills, with the ability to prioritise tasks, meet deadlines and follow up effectively.
  • Good numerical ability and analytical thinking to support variance checks, mass balancing, production volumes and reporting.
  • Computer literate, with sound working knowledge of Microsoft Excel, Outlook and production or Syspro systems.
  • Good communication skills, with the ability to liaise professionally with production, planning, buying, procurement, warehouse, quality, finance and supplier contacts.
  • Able to work under pressure in a fast-paced FMCG manufacturing environment while maintaining accuracy and service delivery.
  • Problem-solving ability, with the confidence to identify discrepancies, follow up on errors and escalate issues where required.
  • Reliable, responsible and deadline-driven, with a strong sense of ownership and accountability.
  • Team player who supports cross-functional collaboration and contributes to efficient daily operations.
  • Able to understand and comply with company policies, procedures, internal controls, food safety, quality, health and safety requirements written in English.

Qualifications & Experience

  • Matric / Grade 12 is essential.
  • Relevant certificate or diploma in Administration, Supply Chain, Production, Operations, Inventory Management or a related field will be advantageous.
  • Previous experience in a production administration, manufacturing administration, stock control, inventory, planning support or procurement administration role is preferred.
  • Experience in an FMCG, food manufacturing or production environment will be advantageous.
  • Working knowledge of SYSPRO is preferred, including opening production jobs, processing job transactions and capturing final products.
  • Sound computer literacy, including Microsoft Excel and Outlook.
  • Ability to work with numerical information, production data, stock movements, variances and reports.
  • Good verbal and written communication skills in English.
  • Must be able to work accurately under pressure and manage multiple administrative priorities in a deadline-driven environment.
